1. Introduction
This Privacy Policy describes how Viergever P.I.M. (“we”, “us”, “our”) handles personal data in the Component Inventaris mobile application (“the App”). Viergever P.I.M. processes your personal data carefully and in accordance with the General Data Protection Regulation (GDPR).
The App is a component registration tool designed for use within your organization’s
infrastructure. All data processing occurs on servers managed by your organization.
2. Data We Collect
Account Information (provided by your organization)
- Username
- Email address
- Password (stored only as an encrypted hash, never in plaintext)
Component Registration Data (provided by you)
- Component name, number, description, serial number, manufacturer, year built
- Functional location and location details (free-text fields you type yourself — not GPS coordinates)
- Condition rating (1–5)
- Notes and remarks
- Asset association
Photos (provided by you)
- Photos taken with your camera of machines and components
- Photos are used solely for documenting machine components
- Photos are stored locally on your device until synchronized to your organization’s server
Technical Data (automatically generated)
- Authentication tokens (stored securely in iOS Keychain)
- Network connectivity status (WiFi detection for sync triggering only)
- Local SQLite database for offline functionality
3. How We Use Your Data
We use your data exclusively for:
- Authentication: Verifying your identity and managing your session
- Component Registration: Storing and displaying component details and photos
- Offline Support: Caching registrations locally so you can work without a connection
- WiFi Synchronization: Uploading completed registrations to your organization’s server when connected
4. Data Storage and Security
- All data is transmitted to and stored on your organization’s self-hosted server
- No data is sent to external cloud services or third-party servers
- Authentication tokens are stored in the encrypted iOS Keychain
- Passwords are hashed using bcrypt before storage
- Communication uses JWT-based authentication
- Photos are stored in the app’s local storage until sync, then kept on your organization’s server
5. Third-Party Services
The App does not use any third-party services for:
- Analytics or tracking
- Advertising
- Crash reporting
- Cloud storage
The App uses only:
- Your organization’s self-hosted Component Inventaris server
- An optional email service (SMTP) for account verification, configured by your organization
6. Device Permissions
The App requests the following permissions, only when you initiate the relevant action:
- Camera: To take photos of machines and components. Only activated when you tap “Foto maken” in the guided photo wizard.
The App does NOT access: your location, photo library, contacts, calendar, microphone,
health data, or any other device sensors.
7. Data Retention
- Account data is retained as long as your account is active
- Component registrations and photos are retained until deleted by a user or administrator
- Authentication tokens expire after 8 hours
- Offline cache data is removed when you log out
8. Your Rights (GDPR)
Under the GDPR, you have the right to:
- Access: Request a copy of the personal data we hold about you
- Rectification: Request correction of inaccurate data
- Erasure: Request deletion of your personal data
- Object: Object to data processing
- Withdraw Consent: Withdraw consent at any time

9. Children’s Privacy
The App is not intended for use by children under 17. It is a professional tool for
maintenance engineers and requires an organizational account.
10. International Data Transfers
All data remains on your organization’s server infrastructure. No data is transferred to
servers outside your organization’s control.
11. Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be communicated through the App or via https://viergeverpim.eu.
