1. Introduction
This Privacy Policy describes how Viergever P.I.M. (“we”, “us”, “our”) handles personal data
in the Task Improver mobile application (“the App”). Viergever P.I.M. processes your
personal data carefully and in accordance with the General Data Protection Regulation (GDPR).
The App is a maintenance task improvement tool designed for use within your organization’s
infrastructure. All data processing occurs on servers managed by your organization.
2. Data We Collect
Account Information (provided by your organization)
– Username
– Email address
– Password (stored only as an encrypted hash, never in plaintext)
– User role (administrator, engineer, or manager)
Maintenance Task Data (provided by you)
– Answers to questionnaire questions about maintenance tasks
– Object FMEA data: failure mode descriptions, causes, and RCM analysis answers
– Task approval decisions
Photos (provided by you)
– Photos taken with your camera or selected from your photo library
– Optional captions you add to photos
– Photos are used solely for documenting maintenance tasks
Technical Data (automatically generated)
– Authentication tokens (stored securely in iOS Keychain)
– Network connectivity status (online/offline detection only)
– Cached copies of your task data for offline functionality
3. How We Use Your Data
We use your data exclusively for:
– Authentication: Verifying your identity and managing your session
– Task Management: Displaying, improving, and tracking maintenance tasks
– AI Processing: Generating improved task descriptions using a locally hosted AI model
– Offline Support: Caching task data so you can work without an internet connection
– Photo Documentation: Storing and displaying photos linked to maintenance tasks
4. Data Storage and Security
– All data is transmitted to and stored on your organization’s self-hosted server
– No data is sent to external cloud services or third-party servers
– The AI model runs locally on your organization’s server — task data is never sent to
– external AI services (such as OpenAI, Google, etc.)
– Authentication tokens are stored in the encrypted iOS Keychain
– Passwords are hashed using bcrypt before storage
– Communication uses JWT-based authentication
– Rate limiting protects against unauthorized access attempts
5. Third-Party Services
The App does not use any third-party services for:
– Analytics or tracking
– Advertising
– Crash reporting
– Social media integration
The App uses only:
– Your organization’s self-hosted Task Improver server
– A self-hosted AI model (Ollama) running on your organization’s infrastructure
– An optional email service (SMTP) for account verification, configured by your organization
6. Device Permissions
The App requests the following permissions, only when you initiate the relevant action:
– Camera: To take photos of maintenance situations (only activated when you tap “Take Photo”)
– Photo Library: To select existing photos for task documentation (only activated when
– you tap “Choose Photo”)
The App does NOT access: your location, contacts, calendar, microphone, health data,
or any other device sensors.
7. Data Retention
– Account data is retained as long as your account is active
– Task data and photos are retained until deleted by a user or administrator
– Authentication tokens expire after 8 hours
– Offline cache data is removed when you log out
– Data is not kept longer than necessary for the purposes described above
8. Your Rights (GDPR)
Under the GDPR, you have the right to:
– Access: Request a copy of the personal data we hold about you
– Rectification: Request correction of inaccurate data
– Erasure: Request deletion of your personal data
– Data Portability: Export your data (available through the app’s Excel export function)
– Object: Object to data processing
– Withdraw Consent: Withdraw consent at any time
